Renewing my Registration with the CMLTO

One of the responsibilities of a self-regulated health professional is maintaining registration with their regulatory College. Each year, the CMLTO Annual Registration Renewal period begins from

November 1st to Dec 31 at 11:59 PM Eastern Standard Time

Specific instructions about renewal are shared by the CMLTO through different communications including FOCUS, letters, e-blasts, and posts on the website. When renewal is open, it can be completed through the following steps:

Log in using your Username and password

Click "Renew or Resign Now" at the top of the main login page

Complete all required renewal sections

Pay the annual fee and submit your renewal

Print your receipt which you can use as proof of registration by selecting "Transactions & Receipts"

Please note if you are registered as Practising and renewing as Non-practising or resigning your registration you must complete the Practice Timelines section to record the number of hours you worked in the current year. The hours are used if you reapply for CMLTO registration or return to a Practising class of registration.

CMLTO registrants may resign their registration during the renewal period. If you resign your registration during the registration renewal period, your resignation will take effect on January 1st of the following year. 

Retirement from your employer does not disqualify you from maintaining your CMLTO registration. All CMLTO registrants holding a Practising certificate of registration must fulfill their professional obligations regardless of their employment status, including meeting the Quality Assurance Program requirements. When a registrant resigns their CMLTO registration, they cannot legally use the protected titles “MLT” or “medical laboratory technologist” in Ontario.

The following are common questions CMLTO receives during the annual registration renewal period.

Accessing CMLTO Online Services

If you have not updated your Username, it is the email address you have registered with the CMLTO.

If you have forgotten your Username or password, click the appropriate option and enter your email address. You will receive an email that contains your Username or a link to set your new password.

  • I did not receive a confirmation email after resetting my password.

Please check your spam/junk email folders and ensure that your email firewall settings are not blocking CMLTO emails or emails that contain links. If after checking your firewall settings and you still did not receive a confirmation email, please contact the CMLTO Registration Department by email at registration@cmlto.com.

Changing Registration Class

  • I will be on leave from my MLT practice and do not plan on working in the upcoming year. How should I renew my registration? 

If you are currently a CMLTO Practising registrant, you may renew your registration as Practising regardless of your employment situation. Please note all Practising certificate registrants must comply with their Quality Assurance (QA) obligations even when not working. You may return to work any time if you have maintained a Practising certificate of registration and if you meet the CMLTO Professional Liability Insurance coverage requirements. 

Alternatively, you may renew your registration as Non-practising. A Non-practising registrant is not permitted to practice in Ontario. While maintaining Non-practising registration, the Quality Assurance Program does not apply to you. To work again as an MLT, you will need to change your certificate of registration to Practising. Registrants wishing to change their class of registration from Non-practising to Practising must meet all of the registration requirements in force at that time. This includes proof of active engagement (use of knowledge, skill, and/or judgment as an MLT) in the practice of medical laboratory technology, or completion of CMLTO-approved refresher courses, in the preceding three years.   • I currently hold a Non-practising certificate of registration, and would like to renew my registration as Practising in the upcoming year. 

During the renewal period, an MLT holding a Non-practising certificate of registration may only renew as a Non-practising registrant, or resign. Non-practising registrants cannot automatically renew their registration with as Practising in the upcoming year. 

To change your class of registration from Non-practising to Practising effective January 1st of the following year, you may renew your registration as Non-practising then submit a completed “Changing Class of Registration” form which is available here. To request a change in registration class to Practising, complete and submit the CMLTO Practising Certificate of Registration Request Form

If you need to change your registration class to Practising during the renewal period (November 1 to December 31), please complete the “Changing Class of Registration” form and submit to the CMLTO Registration Department first. Once your registration class is changed to Practising, the registration renewal site will also give you the option to renew as Practising for the upcoming year.

Resignation
  • I would like to resign my CMLTO registration as I have recently retired. 

All registrants must formally resign their registration through CMLTO Online Services to avoid having their registration suspended. Please note you are not required to resign your registration even though you have retired.

Resigning registrants must check off the online declaration to confirm that they understand the implications of their decision to resign their CMLTO registration.

  • I already emailed the CMLTO to notify them that I will be resigning my registration. Do I need to do anything else? 

Yes, all registrants are required to resign through CMLTO Online Services to avoid having their registration suspended. Resigning registrants must check off the declarations to confirm they understand the implications of their decision to resign their registration.

Quality Assurance and Professional Conduct Requirements
  • Do I have to submit my Professional Portfolio in order to renew my registration? 

No, MLTs are not required to submit their Professional Portfolio to renew their CMLTO registration. However, all Practising registrants must maintain an annual Professional Portfolio in order to set measurable goals toward continuous quality improvement and enhanced professional practice. Please note that completion of the Professional Portfolio is self-declared during the annual registration renewal. 

  • Do Non-practising registrants or registrants who are resigning need to answer the Quality Assurance and Professional Conduct declarations?

Yes. Please note that the Quality Assurance and Professional Conduct declarations must be completed by all CMLTO registrants. Therefore, registrants holding a Non-practising certificate of registration or resigning must also complete this section.

If you held a Practising class certificate of registration at any time during the year, you were required to participate in the CMLTO Quality Assurance Program.  After the renewal period has concluded, the CMLTO will contact Practising registrants who selected ‘No’ to any of the Quality Assurance declarations. Professional Conduct staff will contact all registrants who self-declared ‘No’ to the declarations.

The CMLTO requires the following information to process your registration renewal:

Did you know that the CMLTO By-Law requires CMLTO registrants to provide the College with an individual email address that they personally check on a regular basis? A valid email address is therefore required to complete your registration renewal process. 

Your employer information: 

All Practising CMLTO registrants must confirm their employment details and update them as required. 

Proof of Renewal

  • I need my receipt/proof of registration from last year’s registration renewal for tax purposes, however, it does not appear online.
